Order Finality, Cancellations, and Refund Eligibility

VMFS vending machines are commercial, built-to-order equipment.

Because of the customized nature of most machines, strict return and refund policies apply.

This document outlines those terms clearly.

1. Custom & Built-to-Order Machines

All custom, configured, wrapped, modified, or built-to-order machines are final sale.

This includes machines with:

• Custom wraps or branding
• Modified configurations
• Custom payment integrations
• Specialty features
• Voltage adjustments
• Software customizations
• Unique sizing or color requests
• AI or advanced systems

Once production begins, the order cannot be canceled.

Deposits are non-refundable.

Custom machine sales are final.

2. Standard, Non-Custom Machines

For non-custom, stock machines, cancellation eligibility depends on production status.

Before Production or Configuration Begins

• A cancellation request may be reviewed
• Administrative fees may apply
• Refund is not guaranteed and is subject to approval

After Production or Configuration Begins

• Order becomes non-refundable
• Parts and labor allocation begins once production starts

3. Deposits

If order requires a deposit:

• Deposit secures production slot
• Deposit covers parts allocation
• Deposit covers factory scheduling

Deposits are non-refundable once production begins.

Failure to complete remaining balance does not trigger deposit refund.

4. Shipping Costs

• Shipping charges are non-refundable once shipment is dispatched
• Non-refundable for refused deliveries
• Non-refundable if delivery access is not properly prepared

Redelivery fees are customer responsibility.

5. Refused Deliveries

If customer refuses delivery without documented freight damage:

• Return freight cost applies
• Restocking fee may apply
• Administrative fees apply
• Refund is not guaranteed

Refusal due to lack of preparation does not qualify for refund.

6. Damaged Freight

If machine arrives damaged:

• Follow freight inspection procedure
• Document damage immediately
• Note on Bill of Lading
• Submit claim

Freight damage is handled through carrier claims process.

Freight damage does not automatically trigger refund.

Replacement or repair may be provided depending on claim outcome.

7. Software & Payment Systems

Software subscriptions, integrations, and payment devices are non-refundable once activated.

Processing agreements are separate from equipment purchase.

8. AI & Specialty Systems

AI vending, open-door systems, or advanced technology deployments:

• Are custom-configured
• Require software provisioning
• Require licensing activation

All AI and specialty systems are final sale.

No refunds once production or configuration begins.

9. International Orders

International orders are final sale.

Refunds are not issued for:

• Customs delays
• Import taxes
• Regulatory issues in buyer’s country
• Electrical compatibility misunderstandings not disclosed before order

Buyer is responsible for verifying local compliance before purchase.

10. Financing Agreements

If machine is financed:

• Refund eligibility follows financing contract terms
• Early cancellation may trigger penalties
• Financing agreements are separate from equipment manufacturing

11. Exceptional Circumstances

Refunds may only be considered in rare cases where:

• Production has not begun
• No parts have been allocated
• No customization has occurred
• Administrative approval is granted

All refund decisions are made at VMFS discretion.

12. No Performance-Based Refunds

Refunds will not be issued based on:

• Location performance
• Sales expectations
• Business model dissatisfaction
• Processing approval issues
• Change of mind
• Market conditions

Equipment purchase is separate from business success.

13. Chargebacks & Disputes

Unauthorized chargebacks may result in:

• Immediate suspension of support
• Legal review
• Collection procedures

Commercial equipment transactions are governed by signed agreements and documented invoices.

Final Statement

Vending machines are commercial capital assets, not retail consumer products.

Orders require:

• Careful review before payment
• Understanding of production timelines
• Agreement to final sale terms

By submitting payment, the buyer acknowledges acceptance of this refund policy.
