  • Condition: To be eligible for a return, the item must be unused, in its original packaging, and in the same condition that you received it.
  • Non-Returnable Items: Certain products are exempt from being returned, no exceptions apply. Non-returnable items include:
    • Custom-made or special-order items
    • Items that have been used or installed
    • Items not in their original packaging
    • Software or digital products that have been downloaded or activated
    • Final Sale items, as marked

3. Return Process

  • Initiating a Return: To start a return, please contact us at info@vmfsusa.com with your order number and a brief explanation of the reason for the return. We will provide you with instructions on how to proceed, including a Return Authorization Number (RAN).
  • Return Shipping Costs: You will be responsible for paying for your own shipping costs for returning your item unless the return is due to our error (e.g., incorrect or defective product). Shipping costs are non-refundable.
  • Return Packaging: It is the customer’s responsibility to ensure that returned items are packaged securely to prevent damage during transit. VMFSUSA.com is not liable for items that are lost or damaged during the return process.

4. Inspection and Refunds

  • Inspection: Once your returned item is received, we will inspect it and notify you of the approval or rejection of your refund.
  • Refund Approval: If approved, your refund will be processed, and a credit will automatically be applied to your original method of payment within 10 business days.
  • Partial Refunds: In some cases, only partial refunds are granted (e.g., items that are not in their original condition, are damaged, or are missing parts for reasons not due to our error).
  • Store Credit Option: In certain cases, we may offer store credit as an alternative to a cash refund.

5. Restocking Fees

  • A restocking fee of up to 15% of the purchase price may apply to certain returns. This fee will be deducted from your refund. Restocking fees do not apply to returns due to our error or defective products.

7. Damaged or Defective Products

  • Reporting Damage: If you receive a product that is damaged or defective, please contact us immediately at info@vmfsusa.com. We will arrange for a replacement or refund at no additional cost to you.
  • Retention of Packaging: Please retain all original packaging and documentation for any damaged or defective products, as this may be required for the return process.

8. Refund Processing Time

  • Processing Time: Once a refund is approved, it may take up to 10 business days for the refund to be processed and reflected in your account. The exact time frame may vary depending on your payment provider.

9. Return of Promotional Items

  • Bundled Promotions: If a return involves a product purchased as part of a promotion or bundle, all associated items must be returned to receive a full refund. If one part of the bundle is kept, the refund will be adjusted accordingly.
  • Free Gifts: Free gifts or promotional items received with a purchase must also be returned if the main item is returned, or the value of the gift will be deducted from the refund.

10. Customer Responsibility and Liability

  • Damage During Return Shipping: The customer is responsible for ensuring that returned items are packaged securely and protected from damage during shipping. VMFSUSA.com is not liable for items that are lost or damaged in transit during the return process.
  • Ineligible Returns: Items returned without following the proper procedure (e.g., without a RAN, outside the return window) may be rejected and returned to the customer at their expense.

    Our Ordering Process

    At VMFS USA, you can buy in one of two ways. Some machines are in stock and ready to ship, other machines are build to order. Follow the path that fits your machine.

    Path 1, In Stock and Ready to Ship
    1. Select your machine 
    2. Checkout and pay using your preferred method [credit or debit card, PayPal, Afterpay, Credova, Klarna].
    3. Choose delivery or pickup during checkout. You will see the options available for your location.
    4. Order confirmation arrives by email with your receipt and next steps.
    5. Processing begins after payment is verified. We prepare the machine for shipment or pickup based on what you selected at checkout.
    6. Shipping or pickup follows the timing shown at checkout or in your confirmation. We share tracking details by email when the carrier scans the freight. For pickup, our team confirms the date, time, and loading instructions.
    Path 2, Build to Order
    1. Request a quote from the product page. Share your required features, branding needs, and delivery or pickup preference.
    2. Order review by our team. We confirm specs and provide a build scope with an estimated timeline [up to 60 days, based on configuration and options].
    3. Approve your quote. Once approved, we issue an order form and invoice with your payment options.
    4. Complete payment using your preferred method [credit or debit card, PayPal, Afterpay, Credova, Klarna].
    5. Production begins after payment is verified. We build and test your machine to match the approved specification.
    6. Shipping or pickup once production is complete. We coordinate delivery or pickup based on your selection and provide tracking or pickup instructions.
