Warranty Options

Every VMFS USA™ vending machine comes with a standard 1-year warranty included at no additional cost. This warranty covers parts and labor for any functional issues caused by manufacturing defects or normal use.

For customers who want additional protection, extended warranty options are available at the time of purchase:

  • 1-Year Warranty – Included
  • 2-Year Extended Warranty – Add for $250
  • 3-Year Extended Warranty – Add for $400

Extended coverage begins immediately after the initial 1-year warranty ends and includes the same benefits.

What the Warranty Covers

The warranty is designed to keep your machine protected from unexpected malfunctions related to manufacturer-approved parts and systems. This includes coverage for electrical components, motors, sensors, control boards, and payment modules.

If a part fails during the warranty period, VMFS USA™ will provide a replacement and cover shipping if applicable inside the continental US.

Support also includes remote technical diagnostics and assistance for software, vending logic, and VMFS USA™ Cloud setup. Firmware updates and cloud-related issues are supported under warranty as long as your system remains connected and properly configured.

What the Warranty Does Not Cover

The warranty does not cover damage caused by misuse, vandalism, or third-party tampering. Cosmetic wear such as dents, scratches, and faded labels is not included, nor are consumable components like keys, filters, or coils.

Damage caused by environmental factors such as fire, flooding, or power surges is also excluded. Any repairs attempted by non-authorized parties may void your warranty.

How to File a Warranty Claim

If you encounter a problem with your vending machine during the warranty period, the process to file a claim is simple. Contact the VMFS USA™ support team by phone or email and provide your machine’s serial number, date of purchase, and a description of the issue. Photos or videos can help expedite the troubleshooting process.

Our team will perform remote diagnostics and determine the best solution. If a part needs replacement, we’ll ship it directly to you. If the issue requires hands-on service, we’ll help arrange support with a certified technician.

Choosing an extended warranty gives you long-term confidence in your investment. With two or three years of continued coverage, you’ll reduce the risk of out-of-pocket repair costs and maintain access to expert technical assistance as your business grows.

After Your Warranty Ends

Once your standard or extended warranty expires, VMFS USA™ continues to offer full support through optional paid services. Remote Support Plans are available to help you manage your machines, resolve issues, and stay operational with minimal downtime.

Machines that remain connected to VMFS Cloud will continue to benefit from remote management, real-time inventory tracking, and software controls—provided your cloud subscription stays active.

Certified replacement parts and upgrade kits are available for purchase at any time. Whether you need to replace a touchscreen, payment unit, or internal component, we supply certified hardware for all supported models.

For additional peace of mind, we offer optional annual service checkups. These visits include preventive maintenance, internal inspections, and software updates to ensure your machine continues to perform reliably beyond the warranty period.

Our Ordering Process

At VMFS USA, you can buy in one of two ways. Some machines are in stock and ready to ship, other machines are build to order. Follow the path that fits your machine.

Path 1, In Stock and Ready to Ship
  1. Select your machine 
  2. Checkout and pay using your preferred method [credit or debit card, PayPal, Afterpay, Credova, Klarna].
  3. Choose delivery or pickup during checkout. You will see the options available for your location.
  4. Order confirmation arrives by email with your receipt and next steps.
  5. Processing begins after payment is verified. We prepare the machine for shipment or pickup based on what you selected at checkout.
  6. Shipping or pickup follows the timing shown at checkout or in your confirmation. We share tracking details by email when the carrier scans the freight. For pickup, our team confirms the date, time, and loading instructions.

Path 2, Build to Order
  1. Request a quote from the product page. Share your required features, branding needs, and delivery or pickup preference.
  2. Order review by our team. We confirm specs and provide a build scope with an estimated timeline [up to 60 days, based on configuration and options].
  3. Approve your quote. Once approved, we issue an order form and invoice with your payment options.
  4. Complete payment using your preferred method [credit or debit card, PayPal, Afterpay, Credova, Klarna].
  5. Production begins after payment is verified. We build and test your machine to match the approved specification.
  6. Shipping or pickup once production is complete. We coordinate delivery or pickup based on your selection and provide tracking or pickup instructions.
